PRO360 Group Ltd ("we", "us", "our") operates pro360nutrition.co.uk, including the Personal Wellness Blueprint assessment. This policy explains what personal data we collect, why, and what rights you have over it.

If you have any questions about this policy or how we handle your data, contact us at info@pro360nutrition.co.uk. Our Data Protection Officer can be reached at dpo@pro360nutrition.co.uk.

Personal data we collect

Depending on how you use our site, we may collect:

  • your email address, when you sign up, get in touch, or leave feedback;
  • your name, year of birth, and biological sex, when you complete the Personal Wellness Blueprint assessment (needed to generate accurate, age- and sex-appropriate recommendations);
  • health and lifestyle information you provide as part of that assessment — see the dedicated section below, as this is handled differently and requires your explicit consent;
  • technical and usage information collected automatically when you browse our site.

Health and Wellness Assessment Data

If you complete our Personal Wellness Blueprint assessment, we collect health-related information as part of that process. This includes:

  • your health history, including any diagnosed medical conditions you tell us about (for example high blood pressure, high cholesterol, diabetes, heart disease, stroke, asthma or COPD);
  • known food allergies, sensitivities and intolerances;
  • symptoms and lifestyle information relating to your energy, digestion, sleep, mood and physical activity;
  • if you choose to provide it, free-text details about medical conditions, treatments, or menstrual or menopause-related changes.

This is "special category data" under UK data protection law, and we only collect and use it with your explicit consent, given when you complete the assessment. You can withdraw this consent at any time by emailing dpo@pro360nutrition.co.uk. Withdrawing consent doesn't affect the lawfulness of anything we did with the data before you withdrew it, and doesn't delete a report already generated for you.

What we use it for. Your answers are used to generate your personalised wellness report and food/supplement recommendations, and to help our consultants avoid recommending anything that may not be suitable for you. Your closed-answer responses (the multiple-choice questions) feed into our automated recommendation engine. Any free-text answers you provide are for your own consultant's awareness only — they are not read or used by the automated engine, and do not change your generated recommendations.

Who sees it. Access to your assessment answers, including any free-text health information, is limited to PRO360 Group staff and Wellness Advisors directly involved in preparing your Blueprint. This information is not used for marketing, is not shared with our advertising or analytics partners, and is not sold or shared with any other third party.

How long we keep it. We keep your wellness assessment data for 12 months from the date you complete or last update your assessment, after which it is securely deleted, unless we're required to keep it for longer to comply with a legal obligation or to resolve a dispute.

Not medical advice. The Personal Wellness Blueprint is a wellness guidance tool. It does not diagnose, treat or replace advice from your GP or another qualified healthcare professional, and your consultant will not use anything you disclose here to do so either.

Your rights over this data — to access, correct, delete, or restrict our use of it, or to complain to the ICO — are the same as set out elsewhere in this policy, and apply fully to this information.

How we use your personal data

Outside the Health and Wellness Assessment Data covered above, we use the personal data we collect for:

  • marketing and promotional communications;
  • collecting and displaying customer testimonials and feedback;
  • protecting our site and services from misuse.

We rely on your consent for marketing communications (which you can withdraw at any time), and on our legitimate interests for site protection and improving our services.

Who we share your data with

We may share personal data (excluding your health and wellness assessment data, which is never shared this way — see above) with:

  • advertising and marketing service providers, to run and measure our marketing;
  • analytics providers, to understand how our site is used.

We may also disclose personal data where required to comply with a legal obligation, or to establish, exercise or defend our legal rights.

Wellness Advisors, digital business cards and contact lists

If you come to us through a Wellness Advisor. Some people start the Personal Wellness Blueprint from a Wellness Advisor’s link. If you do, the consent box names that advisor and, when you agree, your report and answers are shared with them. They receive an email with a summary of your report, including the answers you submitted and your name and contact details, and they can see your report from their own account on this website. They use this to follow up with you, and they are responsible for how they look after anything they keep outside this website. This is in addition to the PRO360 Group staff and consultants mentioned above.

Digital business cards. A Wellness Advisor can have a page of their own, opened from a QR code or a link, that shows the details they have chosen to show and lets you save them to your phone’s contacts. The page sets no cookies and uses no analytics. We count only how many times a card was opened and how many times it was saved, as totals with no information about you. If you use “Share your details”, you give your name and an email address or phone number, and may add a company, a job title, a message and, if the advisor asks, what you are interested in. Two separate boxes appear: one, which you must tick to send anything, agrees to share these details with that advisor so they can get in touch; the other, unticked, agrees to emails from them. We keep what you typed, which box you ticked and the wording you saw. Your advisor can see it and add private notes. To stop the form being misused, we keep a scrambled code made from your connection address for one hour, which cannot be turned back into the address, and we limit how many forms one connection or one card can send in a day. We email your advisor to tell them; we do not email you.

Advisor contact lists. A Wellness Advisor can keep a private contact list on this website. They can add people by typing them in, from a prospect or guide sign-up, or by importing a spreadsheet or phone-book file. Only a name, email address and phone number (if given) are copied from a prospect or sign-up, never quiz answers. For each person the advisor can record tags, a status, dated notes, short voice notes and follow-up tasks with a due date and, if they choose, a time of day. Voice notes are recordings kept on this website; nothing is turned into text or sent to anyone else. The advisor can also move each person along stages they name (a pipeline). The website keeps a dated timeline of those moves and of follow-up plans started or stopped, and shows the advisor how a person’s quiz scores changed if they took the quiz more than once through that advisor. Only that advisor can see this information.

Reminders and calendars for the advisor. On days when a follow-up is due or overdue, the website emails the advisor a short list of those tasks, including the names of the people they relate to. The advisor can switch this off. An advisor can also add their follow-up tasks to their own calendar app from a private link; the calendar app keeps its own copy of what the advisor allows it to see, which by default carries no names. An advisor can switch on an automatic tidy-up of people with whom nothing has happened for a year or more, which emails the advisor, waits 30 days and then deletes them.

People added by an advisor. People added or imported by an advisor have not agreed to anything through this website and are never counted as agreeing to emails. The advisor is responsible for having a proper reason to hold their details and to contact them. Advisors’ notes can include health information, so advisors are asked to record only what they need. You can ask us or your advisor to delete your details at any time.

How long we keep your data

We keep general account and marketing data for between 90 days and 2 years after your account becomes idle, depending on the type of data and why we hold it. Wellness assessment data is kept for 12 months from your last update, as set out above. We may retain anonymised or aggregated data, which no longer identifies you, indefinitely.

Your rights

Subject to some exceptions, you have the right to:

  • access the personal data we hold about you;
  • have inaccurate data corrected;
  • have your data erased;
  • ask us to restrict how we use your data;
  • receive your data in a portable format;
  • withdraw consent at any time, including consent given for the Health and Wellness Assessment Data above.

To exercise any of these rights, email info@pro360nutrition.co.uk.

Keeping your data secure

We use reasonable technical and organisational measures to protect the personal data we hold from loss, misuse or unauthorised access. No method of transmission or storage is completely secure, so we can't guarantee absolute protection.

Changes to this policy

We may update this policy from time to time. Where we make a material change, we'll give at least 180 days' notice before it takes effect.
